Airbnb damage claim photos: building the evidence before you need it

A damage claim is only as strong as the photo of the room before the guest arrived, so take that photo every time.

Short answer

Strong Airbnb damage claim photos show two things: the item in good condition before the stay, and the damage after checkout, both dated. The easiest way to have the "before" photo is a room-by-room photo report at the end of every turnover. Report damage the day you find it and check the platform's current claim rules.

Most hosts start thinking about Airbnb damage claim photos the day something breaks. By then, half the evidence is missing. You can photograph the cracked glass table, but can you prove it was not cracked before this guest arrived? That proof has to be taken in advance, on every turnover, whether or not anything goes wrong.

This guide covers why dated photos matter, what to photograph, and how to use a cleaner's photo report as your record. It is written for Brisbane and Gold Coast hosts, but the approach works on any platform.

Why "before" photos matter more than "after" photos

Anyone can photograph damage. The hard part of a claim is showing when it happened. A platform or guest will reasonably ask whether the stain, the chip or the missing item was already there. Without a dated photo from just before the stay, it is your word against theirs.

That is why the photo taken at the end of the previous turnover is the most valuable photo in a claim. It shows the property, ready for the guest, at a known time. Put it next to a photo taken after checkout and the change is clear.

A one-off set of photos from when you first listed the property helps, but it does not close the gap. If the damage could have happened in any of the stays since, a launch photo will not show which one. Photos from every turnover narrow it down to a single booking.

How do Airbnb and other platforms handle damage claims?

Each platform has its own process, and they change. In general terms:

  • Airbnb offers host damage protection under its AirCover for Hosts programme, with requests made through its resolution process. You are usually expected to ask the guest first and provide evidence.
  • Stayz and Booking.com have their own options, which may include security deposits or damage programmes depending on how your listing is set up.

Every platform sets deadlines for reporting damage, limits on what is covered, and rules on what evidence it accepts. We are not going to quote them here, because they change and the version that counts is the one in force when you claim. Check the platform's current host terms and help centre before you need them, and again when you do.

What stays the same across all of them: claims with clear, dated photos and receipts are easier to assess than claims without them.

What to photograph after every turnover

You do not need hundreds of photos. You need the same photos, from the same angles, every time. Our crews work through each room in a fixed order and finish with a room photo. Here is what that covers:

AreaWhat to capture
BedroomsWhole room with beds made and cupboards closed; mattress condition when linen is stripped
LivingWhole room; couch and cushions; TV and TV unit; walls behind furniture
KitchenBenches, stovetop, inside the oven, inside the fridge; utensils and cookware counted
BathroomsWhole room; vanity; shower screen; toilet
BalconyFurniture, floor and glass; balcony door locked
SecurityAC off, front door locked, guest keys in lockbox, lockbox code scrambled

The security photos matter more than they look. If a guest says the door was unlocked or the keys were missing on arrival, a dated photo of the locked door and the keys in the lockbox answers the question.

What to photograph when you find damage

When something is broken, stained or missing, take more photos, not fewer:

  1. A wide shot showing where the damage is in the room.
  2. A close-up of the damage itself, in good light.
  3. A scale reference where size matters, such as a coin or a tape measure next to a burn or stain.
  4. The item's label or model if you will need to price a replacement.
  5. Anything left behind that explains it, such as a broken glass in the bin or a stained towel.

Do not clean or move the damage before photographing it. Then collect receipts, invoices or written quotes for repair or replacement. A claim backed by a repair quote is easier to assess than one backed by an estimate.

Build photos into your checklist

Our free Airbnb cleaning checklist generator builds a printable list for your property. Add a photo step at the end of each room so whoever cleans the property takes the same shots every time.

How a cleaner's photo report helps

Your cleaner is the only person who sees the property between every guest. That makes their photos the most complete record you will have. Every Comodo turnover ends with a photo report of each room, with notes on:

  • Damage and breakages, photographed on the day they are found.
  • Missing items: the third pillowcase, a wine glass, a bath mat, a remote.
  • Consumables running low.
  • Maintenance faults, whether or not they are ours to fix.
  • Anything a guest left behind.

Because the report lands the same day, you know about damage while the guest is still reachable and well inside any reporting window. Where a property needs materially more than a standard clean, we photograph it and message you before doing the extra work. You keep the evidence and decide what happens next. More on what a turnover covers is on our Airbnb cleaning page.

Keep an inventory to compare against

Missing items are harder to prove than damage, because there is nothing to photograph. The fix is a baseline: photos of the inside of every wardrobe, drawer, kitchen cupboard and bathroom cabinet, plus a count of glasses, plates, pans and towels. Our crews count utensils and cookware on every turnover, so a missing item is noticed the day it goes, not three bookings later.

If you have not done an inventory yet, our guide to preparing an Airbnb for the first guest walks through it. It is worth doing even on a property that has been hosting for years.

Tips for keeping photos usable

  • Keep the dates. Do not strip the metadata or rename files in a way that loses when they were taken. Store them by property and checkout date.
  • Use the same angles. A photo from the doorway every time makes changes easy to spot.
  • Use good light. Open blinds and turn on lights before taking photos.
  • Keep them for a while. Hold on to turnover photos at least until any claim window has closed.
  • Separate wear and tear from damage. Towels fade and rugs wear. Platforms generally treat gradual wear differently to a one-off event, so budget for replacing worn items and save claims for real damage.

Talk to the guest first

Many damage issues are settled before they become a claim. A polite message with the photos attached, sent the same day, often gets a quick answer. Platforms generally expect you to try this first anyway. Keep the conversation inside the platform's messaging, so it forms part of the record if you need to escalate.

We turn over short stays across Brisbane and the Gold Coast, with a photo report after every clean. If you want that record without taking the photos yourself, send us your property details.

Damage claim photo questions

What photos do I need for an Airbnb damage claim?

You need two sets: dated photos showing the item in good condition before the stay, and dated photos of the damage after the guest checked out. Add close-ups, a wider shot showing where it is in the room, and any receipts or quotes for repair or replacement.

How soon should I report damage after a guest checks out?

As soon as you find it, ideally the same day. Every platform sets its own deadline for damage requests, and those rules change, so check the platform's current host terms rather than relying on memory. Damage spotted and photographed at the turnover gives you the most time to act.

Can my cleaner's photos be used as evidence?

They can support your claim. A photo report taken at the end of each turnover shows the property's condition before the next guest arrived, and the report taken after that guest leaves shows what changed. Dated, room-by-room photos from every turnover make that comparison straightforward.

What is the difference between wear and tear and damage?

Wear and tear is the gradual decline that comes from normal use, such as faded towels or a worn rug. Damage is a specific event, such as a broken glass top, a burn on the bench or a stained mattress. Platforms generally treat these differently, so photos that show a sudden change help.
